What we do with your data
We collect personally identifiable information (“data”) when you contact us to enquire about or to book holiday accommodation with us. Data we have necessarily collected from you is held only to enable us to perform the tasks we have been requested to carry out such as to offer availability about our properties, to confirm elements of our services as booked and to email information to you. It is not passed on to any parties who are not directly involved in providing elements of your holiday, processing your payments or safeguarding any funds paid to us. Here we outline the various ways we may hold data on you and what we do with that data.
If you make a booking with us
To complete your booking we will hold all information passed to us during the booking process. The names of all party members, ages and date of birth of most party members, the address of the party leader and various contact telephone numbers. If you paid by credit or debit card we do not receive copies of your payment receipts nor do we retain access to your card details. We are required to hold booking records for six years and this information is held at our premises both on paper records and in our database.
Our 'agents' records
Since 2017, it has been a legal requirement that personal information on all guests staying in accommodation booked through the Holiday Villa Company Ltd must be collated by the managing agents of the properties and legally required to pass this information on to the Police and Tourist Authorities as is the case with hotel bookings. To save you time and inconvenience on holiday, we provide an online portal where you can input and manage your information, once complete, it is emailed to the villa manager for passing to the authorities and deleted from our database shortly after your holiday is completed.
The information collected is the title, name, date of birth, place of birth, nationality and passport details of every guest, plus the home address and contact details of the lead passenger. Your contact phone number or email may be used by the local agent if they are required to contact you during your stay and flight information allows them to manage maid services. Please note that only the persons registered on the extra info document are allowed to stay in the accommodation booked.
If you have previously stayed in one of our properties or emailed or called us for information on one of our holiday properties, your name and email address will be stored on our contacts database. We will contact you from time to time by email, with information that we feel may be of interest to you. With every mailing you have the option to have your details removed from the contact database simply by clicking on the unsubscribe or opt-out link.
